Introduction

By using the services provided by the platform located at Wellspring Private GP Clinic, you (“you”) and any User (as defined below) agree to adhere to and be bound by the following Terms and Conditions, as well as all future modifications thereof. References to “we“, “us“, or “our” “the clinic” refer to Wellspring Private GP Clinic. References to “User” refer to any person using the Wellspring Private GP Clinic website, where a booking is made by you on their behalf.

1. General

Who we are. This website is owned and operated by Wellspring Private GP Clinic, a company incorporated under the laws of England and Wales with company number 15142017, and whose registered office is at Unit 82a James Carter Road, Mildenhall, Bury St. Edmunds, England, IP28 7DE. This website and its content have been created in accordance with the laws currently in force in the United Kingdom.

In terms of current legislation, Wellspring Private GP Clinic is CQC registration exempt as it is run by already CQC countersigned GPs who are duly registered with the appropriate UK health and regulatory authorities, ensuring compliance with all necessary legal standards and regulations.

Our website. On our website – Wellspring Private GP Clinic (hereinafter referred to as “the Platform” or simply “Wellspring”) – you can find a community of qualified health professionals offering in-person GP and medical services, including consultations and other related healthcare services.

Consent to these Terms and Conditions. Accessing and using this website signifies your agreement, as well as any User’s, to act in accordance with these Terms and Conditions. If you disagree, you and any User should immediately cease access and/or use of our website.

Violation of these Terms and Conditions. If you or a User violate any of these terms, your or the User’s right to access your/their account and related services may be terminated immediately, and legal action may be pursued where applicable.

Privacy Notice. We reserve the right to use the personal data you or a User enters on this website to provide the services ordered, in accordance with our Privacy Notice.

2. Our Services

What we offer. Wellspring Private GP Clinic provides general GP and medical services through in-person consultations at our clinic and additional healthcare services as needed. For more information, please visit our website.

During in-person consultations, our professionals conduct personalized evaluations of medical history and health data, providing medical advice, treatment plans, and recommendations for further care as required.

NOTE: Wellspring Private GP Clinic professionals do not have access to NHS health records and will rely on the information provided by you or a User regarding medical history and conditions. You and the User (as applicable) bear responsibility for the accuracy and authenticity of any data provided.

We provide information on our website, social media (Instagram, LinkedIn, and Facebook), and through newsletters. Personalized support is also available through pre-booked consultations.

Our goal. The goal of our in-person consultation service is to make healthcare more accessible, comfortable, and patient-centric.

Our health professionals. All professionals collaborating with Wellspring Private GP Clinic are fully qualified to practise in the UK and are registered with the relevant Professional Bodies and Regulatory Entities.

NOTE: Wellspring Private GP Clinic is a consultative service and is not to be used in medical emergencies or situations where immediate physical examination or personal contact with a health professional is required. This service does not replace the usual healthcare provided by General Practitioners or Hospitals and is not intended for emergencies.

NOTE: For emergencies, consult a health professional in person, visit the nearest emergency department, or call the national emergency number (999 or 111 in the UK).

NOTE: The information on this website, including medical tips, is provided for general assistance. Users are responsible for determining its suitability for their circumstances. We do not assume responsibility for consequences arising from its application, except where negligence is proven.

NOTE: Our commitment to safeguarding is paramount. Should concerning details arise during a consultation, such as specific disclosures or atypical behavior, we may connect you or the User with appropriate healthcare support agencies.

3. Access and Use of the Services

Full payment must be received before any services are provided. In-person consultations are scheduled upon receipt of the consultation fee, and all funds must be cleared prior to the appointment. Please contact us if you encounter any technical difficulties during the booking process.

NOTE: Our service is not available for children or young people under the age of 18.

NOTE: If you book on behalf of another individual, ensure that the provided data is accurate and that the User consents to these Terms and Conditions and our Privacy Policy.

After payment and issuance of the corresponding invoice, a notification will be sent to confirm the consultation, forming a contract between you and us.

NOTE: If booking on behalf of another, it is your responsibility to share any access links or information we send to enable service delivery. No refund will be issued if we cannot provide services due to failure to provide necessary information.

NOTE: You or the User (as applicable) are responsible for ensuring the necessary conditions for the consultation, including arriving at the scheduled time and bringing any requested documents. Wellspring Private GP Clinic is not liable if these conditions are unmet, and generally, no refund or rescheduling is available for missed consultations.

Punctuality. The health professional will start the consultation at the scheduled time. A 15-minute grace period is allowed for late arrivals, after which the consultation will be considered terminated without refund.

NOTE: Keep all access codes, links, account details, or passwords secure. Notify us immediately if you suspect any security breach.

4. In-Person Consultations

How our in-person consultations are conducted.

Our in-person consultations are held at Wellspring Private GP Clinic, Regus, The Pavilions, Unit 5, Albert Edward House, Ashton-on-Ribble, Preston, PR2 2YB. These consultations provide you with personal attention from our healthcare professionals to discuss your health concerns directly. Each consultation follows a strict privacy protocol reviewed by our Data Protection Officer (DPO) to ensure compliance with data protection laws and uphold the right to privacy for all parties involved.

Consultation Preparation. Once your consultation is scheduled, simply arrive at our location with a valid photo ID (e.g., passport, driving license) and proof of address dated within the last 3 months. Verification is essential to ensure your safety and confidentiality. If valid identification cannot be provided, the consultation will not proceed, and no refund will be given.

Language Services. We conduct consultations in English but can also offer interpretation and translation services, including British Sign Language (BSL) and Makaton, to support those with different communication needs. Please inform us at least one working day before your consultation if you require this service, so we can make the necessary arrangements to meet your needs effectively.

During the Consultation. During the session, all relevant health information will be discussed, including clarification of any prescribed treatments. A treatment code will be provided immediately following your appointment, allowing you to fill prescriptions at eligible pharmacies.

Note: Complete and truthful disclosure of your medical history is crucial for an accurate diagnosis and effective treatment plan. Wellspring Private GP Clinic cannot be held liable for any misinformation provided during your consultation.

Note: Typically, consultations are conducted one-on-one unless a group or additional support is requested by you and approved by our professional staff. Any exceptions will be made at the health professional's discretion and with your consent.

Conduct Expectations: Our health professionals reserve the right to discontinue the consultation if certain standards are not met, including appropriate behaviour and a safe, respectful environment for discussion.

Feedback. After your consultation, you’ll have the opportunity to share feedback regarding your experience with us. Please keep comments respectful and avoid discriminatory or defamatory language.

5. Payment

Payment terms. Consultation fees must be paid in full prior to the scheduled time. If payment has not been received, the consultation will not proceed.

Payment options. Payments may be made by debit or credit card.

The Clinic reserves the right to set pricing at its sole discretion, considering budgetary requirements, operational costs, and overhead expenses.

6. Cancellation and Rescheduling

Cancellations by the clinic. If the health professional cannot attend the session as scheduled, the patient will be notified, and a refund or rescheduling option will be offered if there is a delay of more than one hour.

Cancellations by the patient. Cancellations made by the patient are refundable if requested at least 48 hours before the scheduled time. Cancellations made within 48 hours are non-refundable.

Non-attendance. Failure to attend without prior cancellation will be treated as a cancellation, with no refund issued.

Refund process. Refunds will be issued to the original payment method and processed within 14 days.

Rescheduling. Rescheduling requires at least 48 hours' notice. Please contact us with the subject "Rescheduling" and include the new preferred date and time.

7. Refund Policy

Change of mind. If you decide to cancel within 14 days of booking and before the service is completed, a full refund will be issued. However, you will be charged for any services already provided up to the cancellation.

Defective services. Patients are entitled to request a repeat or correction of a service that has not been provided with reasonable care, per the Consumer Rights Act 2015.

8. Response to Inquiries and Operating Hours

Our opening hours for inquiries and customer service are Monday to Friday, 9 am to 6 pm, and Saturday, 9 am to 12 pm (UK time). Inquiries made outside of these hours will be addressed on the next working day.

9. Prescription Issuance

Issuance of treatments. Prescriptions issued by Wellspring Private GP Clinic health professionals comply with NICE UK guidelines. Treatments are issued as indicated on the document and are valid for redemption at participating pharmacies.

NOTE: Consultations for treatment issuance are intended for general needs only and are not suitable for ongoing chronic condition management. Controlled medications may not be prescribed, and prescriptions may be denied at our sole discretion. Controlled drugs include sleeping pills (diazepam, temazepam, oxazepam, clonazepam ,lorazepam , zopiclone , zolpidem etc ) , opioid medications like morphine , tramadol, oxycodone, codeine and dihydrocodeine, also restricted are intramuscular injections, or immunosuppressants.

This is not an exhaustive list of all medication restrictions. This remains at the full discretion of the clinicians to add more to this list as deemed clinically justified by Wellspring Private GP Clinic

10. Website Usage Terms

Our website is for non-commercial, personal use only. Unauthorized commercial use or any activity disrupting our operations is prohibited.

11. Intellectual Property Rights

All content on our website and social media is the property of Wellspring Private GP Clinic. Any reproduction for commercial use is strictly prohibited.

12. Limitation of Liability

We are responsible for losses caused by breaches of contract, except for unforeseeable losses, delays outside of our control, or avoidable losses where reasonable action was not taken.

13. Changes to Terms and Services

We may adjust our services and policies for compliance, pricing, or to improve service quality. Where significant changes are made, we will notify patients with an option to terminate their contract if they wish.

14. Dispute Resolution

In the event of a dispute, please reach out to our Customer Service Team, and we will do our best to resolve any issues per our Complaints Policy. For unresolved disputes, alternative dispute resolution (ADR) is available through CEDR.

15. Contract Terms

Our contract with you is binding and cannot be transferred unless agreed upon by both parties. This contract is governed by English law, and disputes may be taken to court in accordance with this jurisdiction.

16. Registered Patients

Registered Patient Plan

16.1 Registration Criteria

To become a registered patient, you must meet the following criteria:

  • One 30-minute unregistered appointment
    OR

  • Two 15-minute unregistered appointments.

Note: Any unregistered appointments you may have had in the past do not count towards this criteria.

16.2 Plan Details

Once registered, you will have access to the following benefits:

  • Two 30-minute appointments per month
    OR

  • Four 15-minute appointments per month

  • Complimentary referral letters

  • Free medical letters and fitness-to-fly notes

  • Free fit notes

  • Discounted weight loss consultation prices

16.3 Registered Patient Fees

The registered patient plan is a monthly subscription. The cost is £50 per month for the following:

  • One 30-minute appointment per month (additional appointments available at regular rates).

16.4 Additional Fees

  • Weight loss consultation: Discounted for registered patients.

  • Any additional services (e.g., extra appointments, specialized services) may incur additional charges, which will be communicated in advance.

16.5 Payment Schedule

  • Monthly fees for the registered patient plan will be automatically billed at the start of each billing cycle.

  • Payments can be made by credit/debit card, bank transfer, or other methods as available on the clinic’s payment portal.

16.6 Cancellation

  • You may cancel your registered patient plan at any time, with no long-term commitment required.

  • To cancel, please notify us in writing or through our designated cancellation method before the next billing cycle to avoid further charges.

  • After cancellation, you will no longer be eligible for the benefits outlined in the registered patient plan.

16.7 Re-Registration

  • If you cancel your registration and wish to re-register, you must meet the original registration criteria:

    • One 30-minute unregistered appointment
      OR

    • Two 15-minute unregistered appointments.

  • Re-registration will not be accepted without completing these requirements, and any previous unregistered appointments will not count towards this.

16.8 Flexibility

  • The registered patient plan is on a flexible monthly rolling contract, allowing you to cancel at any time.

16.9 Benefits and Privileges
Registered patients enjoy access to discounted appointment fees, priority booking, and exclusive reserved appointment time slots. These benefits are available only while membership is active. The registered patient package includes one free 30-minute in-person appointment per month, excluding weight loss or other specialized service appointments that may be offered in the future. Unused appointments cannot be carried forward to the next month.

16.10 Changes to Patient RegistrationTerms
Wellspring Private GP Clinic reserves the right to amend membership fees, benefits, or any other terms. Registered patients will be notified in advance of any significant changes.

16.11 Excluded Services

Wellspring Private GP Clinic Patient Registration does not cover the weight loss services ( although discounted appointments may be offered at the discretion of the clinic ) or any external affiliated services such as blood tests or any imaging.

16.12 Acceptance or Removal of Patient Registration

Wellspring Private GP Clinic reserves the absolute right, at its sole discretion, to accept, decline, or remove any individual or user from its patient registration scheme at any time, without prior notice or explanation. This right is exercised in accordance with applicable laws and regulations, and acceptance into the patient registration scheme does not imply a permanent right of access to services.

No refunds will be issued for any partial months. Users may cancel their registration at any time; however, any fees paid for the current month are non-refundable.
